Privacy Policy

This Privacy Policy explains how SnapinAI, LLC (“SnapinAI,” “we,” “us,” or “our”) collects, uses, and shares information when you visit our website, communicate with us, or use our products and services (collectively, the “Services”). By using the Services, you agree to the practices described here.

1. Who this policy applies to

This policy covers two groups: (a) visitors to our website and people who contact us; and (b) customers and their end users, such as dealership staff and the consumers our customers communicate with through the Services.

When a dealership uses the Services to communicate with its customers, the dealership is the controller of that personal information and SnapinAI acts as a processor or service provider on the dealership’s behalf. The dealership’s own privacy notice governs that relationship; this policy describes our practices.

2. Information we collect

Information you provide. Name, business email, phone number, company, role, and any other details you submit through demo requests, account signup, or support conversations.

Customer Data. When a dealership connects systems such as a CRM, inventory feed, or messaging platform, we receive data from those systems — for example, lead records, vehicle information, and conversation transcripts between the dealership and its customers.

Usage data. Log data such as IP address, browser type, device identifiers, pages viewed, referring URLs, and timestamps. We collect this through standard server logs and cookies or similar technologies.

From third parties. We may receive information from analytics providers, advertising partners, and integrated platforms you authorize.

3. How we use information

We use information to:

  • provide, operate, and maintain the Services;
  • respond to messages, schedule demos, and provide support;
  • generate AI responses and suggested actions on behalf of our customers;
  • monitor performance, prevent abuse, and improve security;
  • measure how the Services are used so we can improve them;
  • send service announcements and, with your consent where required, marketing communications;
  • comply with legal obligations and enforce our agreements.

4. AI models and training

The Services use AI models, including third-party large language models, to generate responses and recommendations. We do not use Customer Data to train foundation models for general public use.

We may use de-identified or aggregated data — from which personal information has been removed — to improve, evaluate, and tune the Services. Where we use third-party AI providers, we do so under contracts that restrict the provider’s use of inputs and outputs to serving our requests.

5. How we share information

We share information only as described below.

  • Service providers. Vendors that host our infrastructure, deliver email or SMS, provide analytics, and supply AI model APIs, under written agreements requiring appropriate safeguards.
  • Customer-directed sharing. When a dealership connects a third-party system, we exchange data with that system at the dealership’s direction.
  • Legal and safety. To comply with law, respond to lawful requests, enforce our terms, or protect the rights, property, or safety of SnapinAI, our users, or others.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, with appropriate confidentiality protections.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.

6. Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, measure traffic, and understand how the Services are used. You can control cookies through your browser settings; disabling some cookies may affect how the Services function.

7. Data retention

We retain personal information for as long as needed to provide the Services and for legitimate business purposes such as compliance, dispute resolution, and enforcement of agreements. For Customer Data, retention follows the terms of the agreement with our customer. When information is no longer needed, we delete or de-identify it.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information; to opt out of certain processing; and to withdraw consent. To exercise these rights, contact us at admin@snapin.ai. If your information was provided by a dealership using the Services, please contact that dealership directly — we will assist them in responding to your request.

We will not discriminate against you for exercising any of these rights. You may also have the right to appeal a decision we make about your request, or to lodge a complaint with a data protection authority.

10. U.S. state privacy notices

Residents of California, Colorado, Connecticut, Virginia, Utah, Washington, and other U.S. states with comprehensive privacy laws have the rights described in Section 9. We do not sell personal information or share it for cross-context behavioral advertising as those terms are defined under state law. We process the categories of personal information described in Section 2 for the purposes described in Section 3.

11. International users

SnapinAI is based in the United States, and the Services are hosted and operated in the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the United States, which may have different data protection rules than your country.

12. Children

The Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us so we can delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice (for example, by email or through the Services) before the changes take effect. The effective date at the top of this page reflects the most recent update.
